Email Template Sharing

This information demonstrates the steps on how to Share Email Templates in Dynamics 365.

Steps to Follow:

Step 1 – Go to the Email Templates Area

  • Open the SCU Global App in D365
  • Use the navigation pane to go to:

Settings > Templates > Email Templates (Or use the search bar at the top to search for “Email Templates.”

Step 2 – Find the Email Template You Want to Share

  • In the list view, locate the template you want to share.
  • Click the checkbox to the left of the template name to select it.

Step 3 – Share the Email Template Selected

  • In the top menu (command bar), click the "Share" command

Step 4 – Add Users or Teams

  • A “Sharing” window will appear. 
  • Click Add User/Team
  • Search for and select the users or teams you want to share the template with

Step 5 – Set Permissions

  • After selecting users/teams, tick the boxes for the permissions you want to give:
    • Read (required) 
    • Optional: Write, Delete, Append, etc.-
    • The table below outlines the core permissions along with their corresponding descriptions:

Permission

Description

Read

Allows the user to view records.

Write

Allows the user to edit/update existing records.

Delete

Allows the user to remove or delete records.

Append

Allows the user to link a record to another (not applicable for email templates)

Append To

Allows the user to be the "parent" record that other records can be attached to (Not applicable for email template)

Assign

Allows the user to reassign ownership of records to another user or team.

Share

Allows the user to share records with other users or teams and grant specific rights.

Step 6 – Click Share

  • Once users/teams and permissions are set, click Share

What Happens Next?

The users or teams you shared the template with can now:

  • Use the template when composing emails inside Dynamics 365.
  • See it in the Email Templates list

Notes

  • You or your business unit team must either own the template or have the necessary sharing permissions to share it.
  • Any changes made to the template after sharing will also be visible to the team or user it was shared with.
